Cancellation and Refund Policy

At all times the safety of our students is our main priority and this will be an important factor in deciding whether a lesson will be cancelled or shortened. 

While it remains your decision at the end of the day whether you wish to attend a lesson, to ensure consistency and fairness for all of our clients, our cancellation policy is outlined below:


We understand that there are times when your child/ren will not be able to attend lesson/s due to illness or injury. In the event of a cancellation by you due to illness or injury only, and on the production of a medical certificate, we will provide you with a lesson credit, to a maximum of 2 lessons per term. This credit will only be available for use in the following term.


Due to limited pool availability we do not offer 'make up' lessons.


We request that if your child has experienced severe diarrhoea and been unwell that they be excluded from swimming lessons for two weeks, unless a doctor gives clearance in writing. This is to prevent the spread of infections and minimise contamination of the pool. The lessons missed will be credited for the following term on the production of a medical certificate. 


To notify us that you are unable to attend your lesson, for whatever reason, please email admin@frogpondswimschool.com.au or notify us via your family portal.


In the unlikely event of a long term illness or injury, a credit for unused lessons will be offered on presentation of a medical certificate. Requests for refunds will be assessed on an individual basis, with the final decision being at the sole discretion of Frog Pond Swim School.


If your child's instructor is unable to teach for any reason including illness, we will notify you at the earliest opportunity. We will endeavour to offer an alternative instructor if possible or we will credit you a lesson for the next term. This will not form part of your maximum of 2 lesson credits.


The pool is fully enclosed and heated to 32 degrees Celsius all year round. Wet and windy weather is therefore not an issue; lessons will be on rain, hail or shine. 


Once your lesson time and day has been confirmed and an invoice for the term fees has been issued your child’s place is secured and is therefore not available to anyone else. If for some reason you need to make changes to your lesson time and/or day we will endeavour to meet your needs, however if there are no other suitable times or classes available then cancellation fees will apply as follows:


1. If you cancel and we are able to fill your place with another child before the start of term then the invoice can be cancelled and you will not be required to pay, 

2. We will do our best to fill the lesson however if we are unable to fill your place before the start of lessons you will be required to pay for the number of lessons missed

3. If a replacement cannot be found to fill the place then you will be required to pay the full term fees. 


If you choose to cancel your place at any time or for any reason, unfortunately due to the limited spaces available we cannot guarantee you a place in the following term. You will need to enrol again once re-enrolments for current students have been completed.
